From 1,500 Radios to over 300,000 Assets, Texas Department of Public Safety Expands Asset Management with Radiant RFID
The Texas Department of Public Safety (DPS) has radios ─ a lot of them. During a crisis, DPS deploys Field Support Units (FSU) stocked with handheld radios and equipment that assists local jurisdictions and emergency personnel. In 2009, DPS selected Radiant RFID to provide an asset tracking solution for inventory and assignments of 1,500 radios in DPS’s six Field Support Units across Texas.
DPS utilizes the passive rfid solution keep track of radio locations and assignments. It also provides a faster, more accurate inventory method. Each radio cache is itemized and inventoried without having to open box and manually count items, saving valuable time and effort in offices and the field.
R&D + VAT
Radiant conducted extensive testing of RFID tags on a variety of radios and models. The delivered rfid solution combines passive RFID tags affixed to each radio, Motorola handheld RFID scanners, and Radiant’s Virtual Asset Tracker software ─ a complete rfid system that tracks inventory utilizing handheld devices and fixed readers. Through this process, each radio is scanned and visually confirmed via StoreKeeper™, Radiant’s module that tracks item assignment and return. All radios are distributed from each FSU without the need for a PC or internet connectivity. Information is stored on handhelds and uploaded when ultimately connected to the Virtual Asset Tracker database.
DPS Expands RFID Solution to Track and Manage Over 250,000 Assets across 600 Locations
In 2011, Texas Department of Public Safety called on Radiant to deliver a multi-department rfid solution that tracks and manages over 250,000 highly diverse assets within the agency, such as computer equipment, vehicles, radio and communication equipment, weapons and protective gear. DPS required a robust system to support over 600 locations and departments. Radiant spent time with DPS to fully understand their process and requirements. The greatest need was for a system that tracked each item transfer within the agency.
Radiant gathered all DPS requirements and responded by creating Online Asset Transfer, a Virtual Asset Tracker module that transfers equipment and assets between organizational departments. Property Custodians select the item or items that will be transferred and the department for receipt.
Online Asset Transfer emails an asset transfer request to a receiving department’s property custodian and he or she can either accept or reject the request. The system simultaneously maintains detailed asset location history. Unlike most asset management tools, Radiant’s rfid solution supports asset location and departmental transfer, not just cost center and depreciated value.
Additional Virtual Asset Tracker modules utilized by DPS are:
- Texas Comptroller's Office State Property Accounting (SPA) Integration – Monthly SPA reports that used to take much time and effort are now completed and filed quickly and accurately.
- Straightline Depreciation – Item or items can be selected and depreciation can be quickly calculated within VAT.
- Web Reporting – DPS has many inquiring users, everyone from department managers to the director. Web reporting allows end users to create, run, and save their specific reports as needed resulting in time and manpower savings.
“We are proud to expand our relationship with the Texas Department of Public Safety, the state’s premier law enforcement agency,” said Cynthia Rubio-Ratton, Radiant RFID President and Co-Founder. “Similar to many large corporations, Texas DPS needs to know physical locations of their numerous assets – at any given point in time. Through the use of GPS and RFID asset tracking technology, Radiant’s solution helps the DPS to know the location of all of their assets – even if the assets are transferred to a new location or department.”
